HomeCheck Ltd ("HomeCheck", "we", "us", "our") is a company incorporated in England. We operate a mobile-first property condition inspection and reporting platform serving tenants, landlords, property managers, and insurers across the United Kingdom, Ireland and the rest of Europe.

HomeCheck Ltd is the data controller responsible for the personal data you provide to us when using our website, mobile application, or any associated services (collectively, the "Platform").

We do not collect special category data (health, ethnicity, biometrics, etc.) as part of our standard service. If you appear incidentally in a property video, we process that footage solely for property condition documentation purposes.

How We Use Your Data

Purpose Description
Providing the Platform Creating and managing your account; processing inspections; generating, storing, and distributing HomeCheck Reports; enabling report comparison between inspections.
AI-Powered Analysis Using computer vision to analyse video frames, identify property items, assign condition scores, and produce tamper-proof records. Analysis is performed by automated systems; no human reviews footage unless you raise a support issue.
Tenancy Management Associating reports with tenancy periods so landlords, tenants, and property managers can compare move-in vs. move-out condition data accurately.
Dispute Documentation Producing formatted evidence suitable for Residential Tenancy Board (RTB) or tenancy deposit scheme submissions at your request.
Insurance Services Where you or your insurer connect HomeCheck to an insurance product, sharing verified property condition records and inventory data to support policy underwriting or claims assessment - only with your explicit consent or as required by contract.
Billing & Payments Processing subscription payments via Stripe and issuing invoices.
Platform Improvement Analysing aggregated, anonymised usage data to improve our AI models, user interface, and feature roadmap. No personal identification is used for this purpose.
Security & Compliance Detecting fraud, preventing unauthorised access, and meeting our legal obligations as a data controller.
Marketing Sending you product updates, feature announcements, and property market insights — only if you have opted in. You may withdraw consent at any time.

Legal Bases for Processing

We only process your personal data when we have a valid legal basis under EU GDPR / UK GDPR.

Legal Obligation Retaining financial and transaction records as required by Irish and UK tax law; responding to lawful requests from competent authorities.
Consent Marketing emails; sharing property data with insurance partners; any processing beyond what is necessary to perform the contract. You may withdraw consent at any time without affecting the lawfulness of prior processing.

Sharing Your Data

HomeCheck does not sell personal data. We share data only in the following circumstances:

Other platform users Landlords, tenants, and property managers on the same property may each access the reports associated with that property - consistent with their role permissions.
Microsoft Azure Cloud infrastructure (blob storage, computer vision) used to store and analyse inspection content. Azure processes data under a Data Processing Agreement with Standard Contractual Clauses.
Stripe Payment processing. Stripe is a data controller in its own right for financial data. See Stripe's Privacy Policy.
Apple Pay Payment processing. Apple Pay is a data controller in its own right for financial data
Insurance partners Only where you (or your landlord, acting under a BTL policy) have explicitly connected a HomeCheck report to an insurer's claim or underwriting process — and only the verified property condition record is shared, not account credentials or payment data.
Professional advisors Legal, accounting, or compliance advisors under obligations of confidentiality.
Competent authorities If required by applicable law, court order, or to protect the rights of HomeCheck or third parties.
HomeCheck's neutral, evidence-first approach means we do not take sides. Reports shared between tenants and landlords are identical - neither party receives a version of the truth the other cannot see.

International Transfers

HomeCheck is incorporated in England (EEA). Our primary cloud infrastructure is hosted on Microsoft Azure within European data centres. Where data is processed outside the EEA or UK - for example, by Azure services with global infrastructure - such transfers are governed by:

How Long We Keep Your Data

Account & profile data Duration of your active account, plus 12 months after closure — unless you request earlier deletion.
Property & inspection records For the duration of the relevant tenancy plus 6 years, to align with standard limitation periods for contractual disputes under Irish and English law.
Video recordings As above. You may request early deletion of video content that is no longer needed for an active tenancy, subject to any ongoing dispute or legal hold.
Payment records 7 years from the date of transaction, as required by Irish Revenue / HMRC obligations.
Support & communications 3 years from last interaction, or until you request deletion.
Marketing preferences Until you withdraw consent or close your account.

When data is no longer required, we delete or irreversibly anonymise it. Anonymised, aggregated data (with no re-identification risk) may be retained indefinitely for statistical and product improvement purposes.

Under EU GDPR and UK GDPR, you have the following rights regarding your personal data. We will respond to all verified requests within 30 days (extendable by a further two months for complex requests, with notice).

The HomeCheck Platform is intended for adults aged 18 and over. We do not knowingly collect personal data from anyone under 18. If you believe a child has provided us with personal data, please contact us at privacy@homecheck.live and we will delete it promptly.
